When the Pressure’s On, This Is What High-Performing EAs Do
Build a Repeatable Response Framework
When something goes wrong, it’s easy to freeze or jump into action without a plan. Instead, develop a simple checklist or workflow for common high-pressure scenarios (last-minute changes, no-shows, system crashes, etc.). Having a structure helps you respond faster and gives you something concrete to share with your team when reviewing how things were handled.
Communicate in Snapshots, Not Speeches
Silence is powerful, but silence can also be invisible. In tense moments, get comfortable with short, factual updates: “I’ve moved the meeting to 3pm,” “Waiting on confirmation from IT,” “Sent backup files to the client.” This shows you’re in control without adding noise, and it makes your calm, focused work more visible to others.
Zoom Out, Then Zoom In
High-pressure situations are usually full of noise. Take 60 seconds to mentally zoom out - what actually matters right now? Then zoom in and act on just that. When people are spiraling and you say, “Let’s focus on this one piece first,” you look like a leader (because you are).
Use Your Body as a Calm Signal
Energy is contagious. If your body language says “collected and confident,” others will start matching your tone. Shoulders down. Speak slower. Breathe deeper. Make calm part of your professional brand.
Capture the Debrief and Share the Wins
Once the crisis is over, host a short “what worked, what didn’t” debrief. Share how you kept things moving and where you stepped in. It positions you as proactive and highlights the invisible work you did in the moment.

Map the First Five Minutes
What actually needs to happen in the first five minutes? Who do you notify? What’s the first check or fix? Write it down step by step.
Build Your Workflow
Document the whole sequence: from first alert to resolution. Include people to contact, backups to activate, tools you need, and what you communicate to your Executive.
Create a One-Pager
Turn your workflow into a simple checklist or visual - easy to follow under pressure. Save it somewhere you can access fast.
Share + Improve
Test it with a “what if” scenario. Is anything missing? What would make it faster or clearer next time?
