Audit Your Tasks Like a Strategist |

Stop Doing More. Start Doing What Matters.
As EAs, we handle so many moving parts that it’s easy to fall into “just get it done” mode. The trick is to stop doing and start assessing. This week, it’s time to look at your workload like a strategist. Here’s how to start your own task audit in four smart moves:
1. Sort by value, not volume. Make two lists: what drives results and what just fills time. If a task doesn’t directly support your Executive’s goals (or yours), it goes on the “questionable” list.
2. Challenge the autopilot tasks. Every Assistant has legacy work that exists because “we’ve always done it.” Ask, does anyone still need this? If not, retire it.
3. Find your leverage points. Spot where a small improvement could make a big difference. Maybe it’s automating meeting notes or creating one reusable process doc that saves hours every month.
4. Make your wins visible. When you streamline or eliminate something, share it. A two-sentence update in your weekly check-in builds credibility fast: “I automated X - it now saves us 30 minutes a week.”

As Executive Assistants, we’re constantly adjusting, improving, and reshaping the work we do to make it fit better. We just don’t always give it a name. That’s what task crafting for EAs really is. It’s the process of shaping our tasks so our work feels more meaningful, efficient, and aligned with what our Executives and organizations need.

With the right strategies, you can improve your focus and productivity – even in the busiest environments. Here are some tips to help you bring more focus to your work. Understanding how to bring more focus to your work is essential for maintaining productivity as an Executive Assistant.

Team Up
If your team still uses endless shared spreadsheets or email chains to track tasks, Teamup is a simple upgrade. It’s a shared calendar platform that lets you organise projects, events, and deadlines in one view without needing individual logins. For EAs, it’s ideal for managing multiple executive or team calendars at once. You can colour-code by person or project, set permissions, and share real-time updates. It fits perfectly with this week’s focus on managing and reshaping tasks because it gives visibility and structure to who’s doing what, when, and why.

Let’s turn this week’s focus on task management into action. Your challenge: run a mini task audit.
Pick one recurring task and look at it with a critical eye. Ask yourself: → Does it still add real value? → Could it be automated, simplified, or delegated? → Is there a smarter way to do it?
Then make one small change that saves time or improves quality, even if it’s just documenting the process or cutting one unnecessary step. Small, intentional improvements like this build efficiency and control into your week. One task at a time.
