Managing Interruptions with the Eisenhower Matrix

Interruptions aren’t going anywhere for EAs, but how we respond to them? That’s where the magic lies. Here’s how to turn daily distractions into decisive action with the Eisenhower Matrix:

1. Interruptions? Don’t React—Triage.

When someone pops up with a “quick question” or a last-minute ask, pause. Run a mental scan:

  • Is it urgent and important?
  • Can it wait?
  • Can someone else handle it?

This quick check puts you back in control. You’re not being difficult, you’re being strategic.

2. Create ‘Focus Armor’

Protect time like it’s your most valuable asset - because it is. Block out deep work sessions in your calendar (label them!), set your Slack status to “heads down,” and signal to your team when you’re not to be disturbed. These are your anti-interruption rituals, and be sure to make them a habit.

3. Give Your Executive a Matrix Makeover

If your Executive keeps piling on the meetings and all the projects, gently (but firmly) guide them through the Matrix: “If we add this meeting, we’ll need to push your strategy prep. Do you want to revisit the priorities?” You’re not just protecting their time, you’re helping them lead better. That’s powerful stuff.

4. Interruptions Become Insights

At the end of the week, do a quick interruption audit:

  • What pulled you off course?
  • What could’ve been delayed or delegated?
  • What shouldn’t have happened at all?

Use the Matrix to review and rebalance. You’ll spot patterns, protect your priorities, and advocate for the work that actually moves the needle.

You’ve probably come across the Eisenhower Matrix before. Maybe you’ve even sketched it out in a notebook during a particularly hectic day. It’s that useful grid that helps us figure out what’s urgent, what’s important, and what can (thankfully) wait.

As Executive Assistants, we know that no two days are ever the same. One minute, we’re managing back-to-back meetings, and the next, we’re troubleshooting last-minute travel changes or handling an unexpected crisis with the kind of calm that deserves a medal!

Pick 4–6 categories that reflect how you want to spend your time:
→ Focus Work | Admin | Meetings | Firefighting | Planning | Breaks

Day 2: Colour-Code Your Calendar

Assign a colour to each category. Make it bold. Make it obvious.

Day 3: Audit Last Week

Review your calendar. Label every block. Where did your time actually go?

Day 4: Spot the Patterns

What’s missing? What’s overflowing? What needs protecting?

Day 5: Make One Change

Block one session for deep work. Cut one non-essential meeting. Add a buffer. Your call - but make it count.
