Stay in Sync with Your Exec (and Look Like a Mind Reader!)
Ever feel like you’re constantly playing catch-up with your executive’s priorities? One minute, it’s all about big-picture strategy, and the next, you’re deep in the weeds of day-to-day chaos. The key to staying ahead? Goal alignment.
1. Know Their Goals
Write down your executive’s top three priorities (both personal and professional). If unsure, ask clarifying questions in your next check-in.
💡 Example: If their goal is building team culture, your focus might be on improving internal communication and engagement strategies.
2. Support Strategically
For each goal, identify three ways you can provide strategic support.
💡 Example: To enhance team culture, you could:
- Organize town hall meetings for transparent communication.
- Ensure regular 1:1 check-ins for team alignment.
- Develop internal messaging that reinforces leadership vision.
3. Align & Prioritize
Assess your tasks: Keep what supports their goals. Delegate, automate, or deprioritize what doesn’t.
💡 Example: Spend less time on manual scheduling (if it can be automated) and more time on strategic projects like team engagement.
4. Stay Proactive
Prepare one key discussion question for your next check-in and commit to one immediate action that improves alignment.
💡 Example:
- Discussion: Are we prioritizing team communication effectively?
- Action: Streamline updates with a structured weekly briefing.
By taking these steps, you shift from reactive task management to a strategic partnership with your Executive.

As Executive Assistants, we know that the one-to-one meeting with our Executives is a cornerstone of effective collaboration. These meetings aren’t just another item on the calendar—they’re our opportunity to align priorities, tackle challenges, and make sure everything runs smoothly.

You play a critical role as strategic partners, amplifying your leader’s productivity and effectiveness. To excel in this role, you need to align your thinking with the Executives you support. By understanding your Executive’s goals, vision, preferred communication styles, and natural behavior, you can provide insightful and impactful support.

This week, we’re shifting from task overload to strategic alignment. Instead of just tackling what’s in front of you, take a step back and ensure your daily work is fully aligned with your executive’s top priorities.
Challenge Steps:
🔹 Step 1: Clarify What Matters Most Write down your Executive’s top three priorities—whether it's driving business growth, improving team engagement, or streamlining operations. If you’re unsure, ask in your next check-in!
🔹 Step 2: Audit Your Workload Review your current tasks and projects: Highlight what directly supports these priorities. Identify what doesn’t align—can you delegate, automate, or drop it?
🔹 Step 3: Refocus Your Time Choose one area where you can shift effort away from low-value admin work and toward high-impact strategic support. Some ideas:
- Prioritizing executive communications over unnecessary scheduling.
- Spending more time on insights and decision-making instead of repetitive tasks.
🔹 Step 4: Start a Strategic Conversation Prepare one key question for your next check-in to ensure continued alignment. Example: Is there anything I should be focusing on more to support your goals?
